Think in three lighting layers
Atmosphere is the overall feeling: warm pools of light around tables, a softly lit backdrop or a canopy of festoon lights. People need flattering, practical light for the couple, the emcee and anyone giving a speech. Movement needs enough visibility around steps, dining areas and the route back to the hotel.
These layers can be simple. A small dinner may need warm table lamps and a few carefully placed lights. A larger reception may need a separate lighting plan for the stage, dance floor and guest areas. More fittings do not automatically create a better result.
Plan sound for every part of the day
- Ceremony: microphones for the people speaking, a clear music source and someone responsible for cues.
- Welcome drinks: background music that allows guests to talk comfortably.
- Dinner and speeches: suitable microphone coverage and a clear handover between speakers.
- Party: the DJ or band’s requirements, agreed volume and a defined finish time.
Ask the sound team whether equipment needs to move between locations or whether separate setups make more sense. Moving a speaker, console and microphones during the drinks reception can create a gap if nobody has allowed time for it.
Work with the venue before choosing the design
Send the technical team a floor plan and current photographs. The hotel should approve equipment positions, power arrangements, cable routes, installation methods and operating hours. Outdoor structures and electrical equipment need appropriate professional assessment; do not treat a lighting photograph as an installation specification.
For a beach or garden event, include the technical setup in the weather alternative. Ask who makes the relocation decision and whether the agreed backup space can support the intended music and lighting. This should be settled before guests arrive.
Bring the photographer into the conversation
A room can look romantic to the eye but photograph very differently. Share your lighting idea with the photo and video teams, particularly if you want coloured effects or a very dark dinner setting. Ask for clean, flattering light during vows and speeches, then use a different mood for dancing if the venue allows it.
For video, confirm how vows and speeches will be recorded. A microphone that sounds clear through the room’s speakers does not automatically mean the video team has a separate usable recording.
What belongs in the quotation?
Request equipment, setup and collection times, technician hours, transport, any extra power provision and overtime terms. Identify who supplies the microphone stands, music playback device and any band-specific equipment. Ask who stays during the event to handle adjustments.
Does the hotel’s sound system cover everything?
It may cover one room or a limited function. Check the exact equipment and permitted use against your ceremony, dinner and entertainment plan before booking additional production.
