Your Langkawi Wedding Venue Site Visit Checklist

A beautiful photograph can help you choose a wedding venue, but it cannot tell you where suppliers unload, how guests reach the ceremony or whether your backup space is actually reserved. A focused site visit helps turn an attractive location into a practical plan.

If you are planning from overseas, ask the venue for a live video walkthrough and an annotated floor plan. At Petik Bunga, photographs of the actual space and confirmed access arrangements help us discuss decoration that fits your celebration.

Walk the route your guests will use

Start at the arrival point and follow the route to the ceremony, reception and bathrooms. Note steps, changes in surface and any sections exposed to the weather. If guests have mobility or other access needs, ask the venue to explain the available route and facilities specifically. Do not assume that a general accessibility description covers every outdoor event area.

Consider where guests will wait if they arrive early and where drinks can be served. A welcome arrangement should be visible without narrowing an entrance or blocking directional signs.

Look beyond the ceremony backdrop

Check the view from the seats, not only from the couple’s position. Ask where microphones, speakers and the photographer will be placed. Photograph the space from several angles and identify anything that needs to remain accessible.

Give your decorator the approximate dimensions, the permitted fixing methods and the available setup time. A large floral arch needs a suitable installation plan; a lightweight reference image does not tell you how the real structure will be supported. Any technical installation should be agreed with the venue and the responsible supplier.

Review the reception with a real table plan

Request a layout for your expected guest count. Mark the tables, dance area, stage, screens, service routes and any photo corner. Ask which furniture, linen and tableware are included before choosing extra styling.

View the room from the seats at the back and sides. Tall arrangements should be discussed alongside sightlines, plate space and the position of shared dishes. Our table centrepiece guide explains how the flowers and table layout work together.

Make the backup space part of the booking discussion

Ask to see the exact indoor or sheltered alternative. Confirm its availability, capacity, additional charges and the decision deadline. Find out whether another event can use it on the same day and what happens if both spaces are needed.

Take separate photographs and measurements. Your outdoor design may need changes indoors, so ask for the alternative layout before the decoration is finalised.

Bring home these answers

  • The agreed ceremony and reception locations, including the backup space.
  • A floor plan for your guest and table numbers.
  • Outside supplier rules and any applicable fees.
  • Loading entrance, parking arrangements and installation window.
  • Restrictions on candles, adhesives, hanging decor and sound.
  • Power information to discuss with the sound and lighting supplier.
  • Collection deadline and responsibility for restoring the space.
  • The venue contact and the person who can approve changes.

Separate an idea from a confirmed inclusion

During a walkthrough, it is easy to hear “we can arrange that” as “it is included”. Ask the venue to identify what comes with your package and what requires a separate quotation. Keep the written answers with the latest proposal and share them with suppliers.

If you are still making a shortlist, begin with our Langkawi wedding resort guide. Once you have the space details, send them to us to discuss wedding flowers and decoration. Please arrange any visit to our Kuah shop in advance, as our team may be working at an event.
