Ask what the service includes
Is the quotation for supplied decorations, installation or a wider event planning service? List the items and quantities you expect. Ask who handles delivery, setup, any mid-event relocation and collection. A florist or decorator should not automatically be assumed to manage transport, catering or the complete event programme.
Explain the venue requirements
Share the venue contact, installation window and any rules for outside suppliers. Ask how the design will be supported and whether it requires power or attachments. Confirm that entrances, emergency routes and hotel operations will remain accessible. For outdoor plans, agree the weather alternative with both the venue and supplier.
Review the quotation in detail
Look for clear descriptions, quantities, delivery charges, hired items and collection arrangements. Check payment dates and cancellation terms before paying. Ask what happens if a requested flower variety is unavailable and how a substitution will be approved. Changes to the guest count or venue should lead to an updated brief rather than informal assumptions.
Know who will communicate
Nominate one person who can approve the final design and one on-site contact for installation. Keep the latest timings and layout in a single message or document. If several relatives or colleagues send instructions independently, important details can become contradictory.
